Registration and Housing
ASM recognizes the value of your participation and is pleased to offer you complimentary registration which entitles you to attend the entire meeting and any group meals or receptions complimentary. ASM will register you for the meeting. You will receive confirmation of your registration via email in December. All invited speakers and moderators must make their own travel and hotel reservations. Rooms have been reserved at the Washington Marriott Wardman Park Hotel. Be sure to specify that you are attending the 2014 ASM Biodefense and Emerging Diseases Research Meeting. Hotel reservations must be made by January 13, 2013. Please make your hotel reservation as soon as possible as rooms are limited at the Marriott Wardman Park Hotel. Presentation and AV Guidelines
Session rooms will be equipped with a PC computer. In order to provide the highest quality experience for our attendees, ASM requires that all speakers upload their presentations at least one hour before their session begins. To upload your presentation, please visit the Speaker Ready Room on site with your presentation uploaded to a "thumb drive". A technician will be available to help ensure your presentation is properly uploaded.
Invited Speakers and Moderators are reimbursed up to a maximum of $1000 in travel expenses. ASM will honor expenses for travel (coach airfare, mileage to/from airport or personal vehicle usage in lieu of airfare, tolls and parking, taxi or shuttle fees), hotel (room and tax only), food (actual expenses as ASM does not set a per diem amount), and gratuities. Rental cars will not be reimbursed. Please make sure to save all itemized receipts. Please note that a copy of a charge slip is not considered adequate documentation for meals. The receipt detailing the food and beverage purchases is the correct receipt. ASM cannot reimburse for expenses without an itemized receipt. A reimbursement form will be emailed to invited speakers after the conclusion of the meeting.
Evidence-Based, Non-Commercial Presentations
ASM requires that all presentations be evidence-based and by themselves or in conjunction with other presentations, give a balanced view of therapeutic options. Commercial, company, or product logos or watermarks are not permitted on slides and when unlabeled or investigational uses of a drug or device are discussed, they must be labeled/identified as such in your presentation. The use of generic names contributes to impartiality. If trade names are used in your presentation, you must also use the trade names of other companies’ products as well.
Please be advised that it is ASM’s policy that, while presenters are allowed to communicate with the press, their discussions may not be published until after the day and time of the actual presentation. Policy is in effect until January 27, 2014.
