Audio Visual Requirements

Each room used for presentations will be equipped with a PC computer (which will have the latest version of PowerPoint installed) connected to an LCD projector.  Oral presenters are requested to bring their PowerPoint presentations on a "thumb drive" or CD-ROM to the Speaker Ready Room (Directors Room) prior to their session to be uploaded. A technician will be available during the following hours to help ensure your presentation is properly uploaded.

Sunday, February 26: 9:00am - 4:30pm
Monday, February 27: 6:30am - 6:30pm
Tuesday, February 28: 6:30am - 6:30pm
Wednesday, February 29: 6:30am - 12:00pm

When preparing your PowerPoint Presentation, make sure you copy all supporting media files to the same folder as your presentation.

Embargo Policy

Please be advised that it is ASM’s policy that, while presenters are allowed to communicate with the press, their discussions may not be published until after the day and time of the actual presentation. This policy ends February 29, 2012.

Moderator Guidelines

Prior to the session please remember to:

  • Introduce yourself.
  • Introduce each speaker, noting presentation title as indicated in the Final Program.
  • Remind audience that all recording devices, cameras (including camera phones), and video cameras (including video phones) are prohibited in the session room.

During the session please:

  • Notify room monitor immediately of AV equipment problems.
  • Encourage audience to take center seats, particularly when room is at capacity.
  • Assure no disturbances.
  • FOR HIGHLIGHTED ORAL ABSTRACT SESSIONS ONLY: Please be sure to keep the session on schedule. Each speaker will have 8-13 minutes to present followed by 2 minutes for Q&A. Should the session get ahead of schedule, please do one or more of the following:
    • Have questions prepared for the audience
    • Solicit questions from the audience
    • Take a stretch break
