Session Definitions

Symposia
Symposia consist of four or five faculty who present lectures on designated topic followed by a moderated Q&A period.

Plenary Sessions
These sessions provide all attendees an opportunity to collaborate on presentations of science, policy, and public health issues. Plenary sessions may have a moderated Q&A period.

Focus Sessions
Focus sessions are in-depth educational activities that highlight a specific topic area. These sessions are an opportunity for attendees to explore new and emerging issues with a group of faculty experts.

Discussion Roundtable Sessions
One hour sessions dedicated to providing attendees with information about selected government programs to include how to apply for grants and other financial support.

Invited Speaker Abstract Submissions

Deadline: January 6, 2012

Invited Speakers must submit an abstract (approximately 150 words) of their presentation to ASM by January 6, 2012. You may upload your abstract from any word processing file or type in text directly. To upload your abstract please refer to your letter of invitation. Registration and Housing

Deadline: January 27, 2012

ASM is pleased to offer Invited Faculty complimentary registration which entitles you to attend the entire meeting and any group meals or receptions complimentary. ASM will register Invited Speakers for the meeting.

As an Invited Speaker you must make your own hotel reservations at the Omni Shoreham Hotel, Washington, DC. Be sure to specify that you are attending the ASM Biodefense Research Meeting. Hotel reservations must be completed by January 27, 2012.

Embargo Policy

Please be advised that it is ASM's policy that, while presenters are allowed to communicate with the press, their discussions may not be published until after the day and time of the actual presentation. This policy ends on February 29, 2012.

Expense Report

Deadline: March 29, 2012

All invited faculty for Symposia, Focus Sessions, Roundtable Discussion Sessions, and Plenary Sessions are reimbursed for travel expenses up to $1,000 for both domestic and international speakers. ASM will provide complimentary registration for all invited faculty. An expense report will be emailed to all speakers upon the conclusion of the meeting.

ASM will honor expenses for travel (coach airfare, personal vehicle mileage to/from airport, tolls, parking, taxi or shuttle fees), hotel (room and tax), food (actual expenses as ASM does not set a per diem amount), and gratuities up to a maximum of $1,000. Rental cars are not authorized. Please be sure to attach a copy of ALL itemized receipts. ASM cannot reimburse for expenses without receipts. Expense reports must be returned to ASM within 30 days from the date on which expenses are incurred (no later than March 29, 2012). Please note that a copy of a charge slip is not considered adequate documentation for meals. The receipt detailing the food and beverage purchases is the correct receipt.

Financial Disclosures

ASM requires that all speakers and presenters disclose financial relationships of any amount over the past 12 months with commercial interests that are relevant to their presentation.A commercial interest is defined as any entity producing, marketing, re-selling, or distributing health care goods or services consumed by, or used on, patients.Relationships with governmental agencies (e.g., the NIH) and organizations that do not fit the above definition do not have to be disclosed. Principle investigators must report research funding relationships below under "Research Contractor" even if those funds came to an institution. You DO NOT have to disclose honoraria or fees you have received from a CME provider, even if those funds were provided through an educational grant from a commercial interest. Also, you must disclose SIGNIFICANT financial relationships your spouse or life partner has with applicable manufacturers ("significant" means, for example, holder of a patent, or is employed by a manufacturer you reference), or provides marketing advice to applicable manufacturers. Disclosure of spousal information should be included in your disclosure in the table below.

These disclosures are provided to the activity participants in the Online Program Planner. Should a speaker/planner disclose a relevant financial relationship, ASM takes steps to resolve that conflict through a variety of resolution mechanisms and ensure that all presentations are evidence‐based and free of commercial bias.

Audio Visual Guidelines

Each room used for presentations will be equipped with a PC computer (which will have the latest version of PowerPoint installed) connected to an LCD projector.  Oral presenters are requested to bring their PowerPoint presentations on a "thumb drive" or CD-ROM to the Speaker Ready Room (Directors Room) at least one hour prior to their session to be uploaded. A technician will be available during the following hours to help ensure your presentation is properly uploaded.
